Learn about the Event system for announcing and organizing community gatherings.
The Event system is designed for announcing and organizing community gatherings. Using a unified form, you can create both one-time events and recurring event series. This system is perfect for concerts, social events, meetings, fundraisers, and other activities where you want to invite people to attend.
Creating Events
The event creation form supports two types of events:
- One-Time Events: Single occurrences with a specific date, time, and optional end time. Perfect for unique gatherings like concerts, parties, or special meetings.
- Recurring Event Series: Events that repeat on a regular schedule—weekly (every week on the same day) or monthly (e.g., first Tuesday of each month). The system automatically generates individual occurrences based on your pattern. You can set an end date or mark the series as perpetual (repeating indefinitely).
Event Features
- Timezone Support: Select from Pacific, Mountain, Central, or Eastern time zones to ensure accurate scheduling across different regions.
- Public or Private: Events can be configured as public (visible to everyone, including non-logged-in visitors) or private (only visible to logged-in members). This gives you control over who can discover and view your event.
- RSVP and Volunteer Roles: Members can RSVP to indicate they plan to attend. Additionally, events can optionally include volunteer roles. When roles are added, members can sign up for specific positions with capacity limits, combining the simplicity of RSVPs with the organizational benefits of role-based volunteering.
- Rich Details: Events support images, detailed descriptions, host information, and location to provide comprehensive information about the gathering.
Event Discovery
- Events Page: Browse events in list view or calendar view. Public events are visible to anyone; private events require login.
- Community Filtering: Events can be associated with specific communities (Oratorio, Saint Drostan's, Safety, etc.) to help organize and filter events by group.
- Calendar Display: One-time events appear as gold/yellow dots on the calendar. Recurring event series appear as blue dots with a "Series" label.
Who Can Create Events
- General Events: Any logged-in member can create general events that are not associated with a specific community.
- Community Events: To associate an event with a specific community, you must be a moderator or administrator of that community. This ensures community-specific events are properly managed by authorized leaders.
Email Notifications
Stay informed about new events by subscribing to email notifications. You can choose to receive an email whenever a new event is created for specific communities you're interested in.
To manage your event notification preferences:
- Visit your Account → Notifications page (requires login)
- Select which communities you'd like to receive new event notifications for
- You'll receive an email whenever a new event is created for any of your selected communities
You can also enable reminder emails for events you've RSVPed to, receiving notifications 24 hours before or 1 week before the event starts. All notification preferences can be customized or disabled at any time from your notification settings.
